Work with leads

Search, filter, save views, move deals along the pipeline, and keep what needs doing in view.

Leads is the list of everyone you are working. Search matches name, email, title, phone, and company. Filter by stage, owner (Assigned to me, Unassigned, or a teammate), source, or Needs attention, and click a column header to sort, including by deal size and next meeting. The address holds the whole view, so a filtered list can be shared as a link.

  • Saved views sit above the list as tabs. With filters on, click Save view and name it; everyone in the organization sees it.
  • Bulk changes. Select rows to change stage, assign an owner, or delete. Deleting needs Manager or above.
  • New lead needs only a name or an email. Typing a company offers existing companies or creates one.

The pipeline board

Pipeline shows the open leads as five columns, the way Pipedrive does: New, Contact made, Meeting booked, Quotation sent, and Contract sent, each with how many are in it and what they add up to. Drag a card to another column to move the lead, or onto Won or Lost at the foot of the board to close it; closed deals leave the board and are counted on Home and Analytics. A red mark on a card means its action is overdue or nobody has followed up in a week; an amber mark means there is a meeting within the day. The finer stages (Attempted, Engaged, Qualified) still move on their own as Neugent works the lead and show on the card and the lead’s page.

Working a lead as a team

When several people call from the same list, press Work on this lead on a lead’s page (or Next lead on the Leads page, which claims the next free one and opens it). While you hold a lead, teammates see your name on it in the list, on the board, and at the top of its page, and cannot change, message, or call it; they go to another one. Done lets it go, closing the deal lets it go, and so does an hour without touching it, so nothing stays stuck if you go home. A manager can Take over a lead a teammate still holds. The Working on filter narrows the list to what one teammate is on, to Me, or to Nobody (free to work).

A lead’s stage says how far you have got with the person: New (nobody has tried), Attempted (you called and got a gatekeeper, voicemail, an answering machine, or nobody; logging a call with one of those outcomes moves a new lead here), Contacted (a message went out or someone was reached), Engaged (they replied), and on to Meeting booked. Filling in details from an enrichment tool does not change the stage.

A lead’s page

The row of steps under the name shows every stage and where this lead is; click a step to move it, or Close deal to mark it won, lost, unqualified, or unsubscribed. On the right, Deal holds the deal size (won deals add up to revenue on Home and in Analytics), the action needed and when it is due, and the next meeting from the calendar. Notes are standing notes about the person; the timeline below is the record of what happened, and a note there is added with ⌘Enter / Ctrl+Enter.

  • Brief. Click Write brief for a few sentences on who they are, where the deal stands, and what should happen next, written from the record. It says when it was written and whether the record has moved on since; Rewrite refreshes it. Briefs use your plan’s assistant allowance.
  • Files. Attach the quotation, the contract, or a picture (PDF, pictures, Word, Excel, PowerPoint, CSV, or text, up to 10 MB each, 25 per lead). Everyone in the organization can open them from the lead.

Needs attention

A lead needs attention when its action is past due, or when it was contacted and nobody has followed up for a week. Home shows these first.
