How first response works

What happens in the minutes after a lead arrives, and how to change it.

Leads reached within five minutes are far more likely to book, so every new lead gets a response straight away. The rule sits under your sources on Lead intake. Out of the box:

  1. 1The lead’s owner is emailed the moment the lead arrives. New leads take turns across the team unless you choose people.
  2. 2After a minute and a half, Neugent calls. With no voice agent set up, the owner is asked to call instead, and a call task goes on the lead.
  3. 3If nobody is reached within ten minutes, a text with your booking link goes out, then an email.
  4. 4Still no answer: the lead is handed to its owner as a task to follow up personally.

It works before you set anything up

  • No booking link yet? Neugent makes a 30-minute Intro call link, hosted by the lead’s owner, the first time a lead needs one. Change it under Settings → Booking.
  • No email sender yet? The email goes out under your company’s name from Neugent’s address, and replies go straight to the lead’s owner. Add your own sender to use your address.
  • Texts need a phone number connected under Settings → Voice; until then that step is skipped.

When it stops

The moment the lead is reached: they answer a call, reply, or book. It also steps aside if a teammate emails or calls them first, and never calls someone who is already on a call. Outside calling hours it texts or emails right away and calls when hours open.

Change it

On Lead intake, change the delay before the first attempt, the order of call, text, and email, how long to wait between them, what happens outside calling hours, who gets new leads, and exactly what the text and email say. The {{bookingLink}} field inserts the booking link.
